JOB TITLE: Export Documentation Officer (Export Operation Officer)

Job Requirement
 B.A or B.S.C in Business Administration, Marketing or Social Sciences from an accredited
 Minimum of 4 four years’ direct work experience on handling documentation and supplier
communication on Import/export industry
 Must be well accustomed with payment Terms LC, CAD, TT and all related banking
 Working knowledge of regulatory, procedural and documentation requirement of banks,
insurance companies, customs authority, ESL, supplier and other related companies
 Excellent analytical thinking, analysis, & problem solving,
 Must have an extensive knowledge on full logistics tasks
 Must have experience in creating internal documents such as Proforma invoice, Commercial
Invoice, Packing List ETC
 Must be Detailed oriented
 Must work well under Pressure
 Must have excellent communication skills (Spoken and written) Both in English as well as
 Must know how to handle bank related documents such as Bank Permits (Must know how to
use a type writer)
 Must be well organized and proactive (Go Getter)
A candidate with Background on ECX operation is more appreciated
Job Requirement
 Perform all aspects of export documentation and operation.
 Create all internal documentations to be provided to buyer such as Sales contract, Commercial
invoice, Packing list Etc
 Receive, review and process documentation;
 Assure invoicing and billing of loading and all documents are accurate as per sales contract and
LC Instructions
 Be the key contact with IBD departments of banking institution in obtaining Bank Permits,
Opening of LC, and CAD and Making amendments and obtaining Swift Copy to provide to

 Working with shipping companies and booking containers by consistently checking their
 Working with Company Delegate by sending Net Obligation to pick up Purchased Oil seeds/
Pulses or coffee from ECX Warehouse.
 Finding Transport Companies and Trucks to transport the purchased goods to cleaning facilities
To Addis Ababa, Humera or Metema depending on the goods.
 Working with Transporters to insure the goods are transported on time and in full quantity
(Getting the Trucks weighted using a Scale)
 Buying PP Bags ahead of cleaning process
 Working with Cleaning warehouse to establish and maintain effective and relevant export
activities by Insuring the Oil seeds and pulses are cleaned on time per schedule and agreement
on sales Contract
 Working with Regulatory bodies insuring procedural requirements such as (Ethiopian Standard
agency, Ministry of Agriculture ( Phytosaniary certificate), Inspection Service agencies as buyers
 Working with Transistor and Truckers to insure Goods leave warehouse to Djibouti on time
with full documents for easy clearing.
 Track the location of the shipment;
 Maintain export file per procedure and customs regulations
 Prepare and submit relevant administration in a timely and – accurate manner, for example,
shipping schedules; letters of credit; ECGD documents; credit control mechanisms; licenses;
declarations; packing, routing, transport, and safety documentation.
 Support Exports customs clearance and documentation;
